AI Marketing & Outbound

Outbound doesn't fail on copy. It fails on plumbing.

Domain not authenticated, mailbox not warmed, list not consented, replies landing nowhere. Then someone blames the messaging. We build the boring infrastructure underneath so the messaging gets a fair test.

Why people build this

Most outbound never arrives.

Sent isn't delivered, delivered isn't inbox, and inbox isn't read. Send a thousand from a cold domain and you'll damage the domain before you learn anything about the offer. Personalisation at volume is the other half — everyone can tell when the only variable is their first name.

What's in it

Seven modules, and the first two are non-negotiable.

  • Deliverability foundation.

SPF, DKIM, DMARC, dedicated sending domain, mailbox warmup. Skip this and nothing else matters.

  • Consent and CASL handling.

Express and implied consent tracked per contact, with expiry dates, unsubscribe handling and records. This is Canadian law, not best practice.

  • List building and enrichment.

From sources you're permitted to use, verified before send.

  • Personalisation that reads as researched.

Built from something real about the recipient's business, not a merge field.

  • Sequence engine with sane limits.

Volume caps, sending windows, automatic stop on reply.

  • Reply classification.

Interested, not now, wrong person, unsubscribe, angry. Routed accordingly, unsubscribes actioned immediately.

  • Reporting that measures replies and meetings,

not open rates, which have been unreliable since 2021.

Modules are conditional capabilities. Providers, data handling, permissions, integrations, evaluation and human review are confirmed in the written scope.

How it works

Four steps. Warmup takes the longest and can't be skipped.

  1. 01 — Infrastructure.

    Domain, authentication, mailboxes. Day one.

  2. 02 — Warmup.

Two to three weeks of low volume. There is no way around this.

  3. 03 — Build.

List, sequences, personalisation, reply handling. Running in parallel with warmup.

  4. 04 — Send.

Small first, scaled on what the replies tell you.

Questions

The ones we get asked.

How much does an outbound system cost to set up?

$200 CAD per day, per engineer. About five days to build. Tool subscriptions are separate and billed to you directly. Simple and typical estimates are non-binding. Final scope is confirmed before billing; taxes and third-party costs are additional.

Is cold email legal in Canada?

Under CASL, only with express or implied consent, and the rules on implied consent are narrow. We build consent tracking in and tell you where your list is exposed. Availability depends on suitable provider access or APIs, account permission, approved scope and testing; confirm before committing. The customer remains responsible for lawful authority and compliance; Kollabit provides scoped safeguards, not legal advice or certification. This is a scoped target subject to data, platform, network and test results—not a universal guarantee.

How long before it's sending properly?

Two to three weeks of warmup. Anyone promising volume sooner is going to burn your domain. Simple and typical estimates are non-binding. Final scope is confirmed before billing; taxes and third-party costs are additional.

Will this hurt my main domain?

A separately scoped sending domain can reduce risk to the primary domain, but deliverability and reputation are not guaranteed.

What reply rate should I expect?

Depends on list, offer and market, and anyone quoting a number before seeing yours is guessing. We measure replies and meetings, not opens. This is a scoped target subject to data, platform, network and test results—not a universal guarantee.

Do you write the copy?

Yes, and we'll tell you when the offer is the problem rather than the wording.

Which tools do you use?

Custom project deliverables transfer after final payment, subject to our Terms. Pre-existing Kollabit materials and third-party tools keep their existing ownership or licences.

Can you build the list?

Yes, from permitted sources, verified. We won't buy a scraped list and neither should you.

What happens when someone unsubscribes?

Actioned immediately and permanently, across every sequence. Non-negotiable. The customer remains responsible for lawful authority and compliance; Kollabit provides scoped safeguards, not legal advice or certification.

What if it doesn't work?

The audit is free. You'll know whether the problem is fixable before you spend anything. No outcome is guaranteed; the free prototype tests the direction before billing. One clickable prototype and one feedback round are free. If you stop there, no payment is due and you keep the feedback; the prototype remains Kollabit property unless the engagement proceeds, subject to our Terms.
